QuickBooks Error: "QuickBooks found a problem with the Customer: Job credit card number field for ...."



Encountered this issue while attempting to migrate a consulting client to QuickBooks Online. This client's company file was rife with corruption and un-decryptable protected credit card data. The file must be verified before an upload to Online Edition is made possible. Fortunately, this client did not need to maintain credit card information for any customers and a full wipe of the non-decryptable data was a viable option.

The error can also appear as:
LVL_SEVERE_ERROR--GetDecryptedCreditCardNumber Failed: The decryption has failed. CHECKPOINT: <DATE and TIME> Failed to decrypt customer's credit card number. Customer ID: nnnn

Since this affected thousands of customers within the company file, a quick replacement approach was the best route. You can determine how many customers are affected by running a Rebuild on the file from within Quickbooks, then looking at the QBWIN.LOG file (or previous version) to see just how many will require a fix. You can be as inclusive or selective about which customers you touch as you'd like by using the LOG file. I opted to replace all.

After a lot of digging, I was finally able to find a QuickBooks Support article explaining how to safely replace a few or all of the CC numbers for customers in the company file. Included are instructions detailing how to pull specific customers from the LOG file or CC data for every customer. As a safety net, I've also attached a PDF copy to this post in case Intuit decides to retire the documentation.
